Refund Policy

Last updated: [29/03/2026]

1. Overview

Build Matrics Ltd aims to deliver services of the highest standard. If you are not satisfied with the service you have received, please contact us in the first instance and we will do our best to resolve the matter promptly.

2. Project-Based Services (Estimation)

A 50% deposit is required to begin work. This deposit is non-refundable once work has commenced. If the full estimate has not yet been started, the deposit may be refunded minus any reasonable administrative costs incurred.

If you are not satisfied with the delivered estimate, we will provide one round of revisions at no charge. If the issue remains unresolved, a partial refund may be considered at our discretion, subject to the circumstances.

3. Monthly Services (Coordination / Business Development)

Monthly fees paid in advance are non-refundable for the current month in which they are paid. Cancellation with 30 days’ written notice will prevent future charges but will not result in a refund for the current month.

Exception: If you notify us of a cancellation within 48 hours of the monthly billing date and work has not yet commenced for that month, a full refund of that month’s fee will be issued.

4. How to Request a Refund

All refund requests must be submitted in writing to: info@buildmatricsltd.co.uk, with the subject line ‘Refund Request’ and including your company name, invoice number, and the reason for the request.

We will acknowledge your request within 2 working days and aim to resolve it within 10 working days.

5. Refund Method

All approved refunds will be made by bank transfer (BACS / Faster Payments) to the UK bank account from which the original payment was made. We do not issue refunds via any other method. Please allow up to 5 working days for the funds to appear in your account once a refund has been approved.

6. Your Statutory Rights

Nothing in this policy affects your statutory rights under UK consumer or business law.

7. Disputes

In the unlikely event that a refund dispute cannot be resolved amicably, either party may refer the matter to a UK-based dispute resolution service or the courts of England and Wales.
